Accountant, Hybrid, PT/FT

Position Background:

The Chesapeake Bay Trust, a non-profit grantmaking organization, seeks a Senior/Accountant for our Annapolis, MD location to play a key role in the accounting activities of the organization. This role reports to the Finance Manager within the Finance and Administration team. This position will be responsible for organization-wide accounting, reconciliation, invoicing, banking, and audit support as well as assisting with reporting on financial metrics for the organization. This position will also assist the Finance team with creating and implementing accounting and reporting policies for GAAP, GASB, and IRS compliance. This position requires at least two days per week in the office during the first six months of employment; afterward, may be in the office, hybrid or remote.

This person will be a member of a high-energy, collaborative team of 35+ professionals who work diligently to advance the Trust’s mission and daily consider the Trust’s core values of grantee focus, accountability and transparency, inclusiveness, collaboration, and innovation. There is some flexibility with this position as it can be full time or part time.

Established in 1985, the Chesapeake Bay Trust uses grantmaking as a method to promote community-based participation in the restoration and protection of the natural resources of Maryland and the Chesapeake Bay region. In the past fifteen years, the Trust has doubled its grant-making five times through new revenue from a wide range of partners, with current annual grant-making of approximately $25 million. The Trust currently allocates these grant funds through 350-400 awards per year to entities who apply through open, competitive calls for proposals as well as programs such as the Chesapeake Conservation Corps.

Primary Responsibilities (for part time position, ~25 hrs/week):

• Prepare bank and investment account reconciliations
• Prepare journal entries and reconciliations for programmatic transactions including revenue recognition, salaries and indirect cost reclasses, deferred revenue
• Calculate and prepare journal entries to restrict and release restrictions on net assets
• Prepare journal entries and reconciliations for pledges receivable including payments, reserve adjustments, and discount
• Prepare journal entries and reconciliations for capital campaign including entries to restrict and release restrictions
• Serve as backup approver for banking activities including positive pay uploads and ACH approvals
• Prepare other journal entries and reconciliations, as needed
• Review fund balance detail report (report on revenue and expenses for each fund number) in support of close process and address any discrepancies
• Prepare schedules and reconciliations to support annual year end audit
• Make entry for monthly corporate credit card payments
• Support entries and reconciliations related to Chesapeake Conservation Climate Corps in coordination with other team members

Additional Responsibilities (for full time position):

• Invoice programmatic funding partners, both quarterly and annually, as well as coordinating with program team on timing of annual and/or ad hoc invoices
• Calculate, invoice and track personnel costs and indirect cost
• Prepare programmatic Planned vs. Actual (budget to actual report each quarter)
• Provide ad hoc and periodic financial reporting on each award and program to program staff to support progress reporting to funding partners in accordance with reporting calendar maintained by program staff
• Complete and submit federal financial reporting (FFR/sf425) for programmatic funding
• Support annual Single Audit with preparation of various schedules and testing requests including Schedule of Expenditures of Federal Awards (SEFA), schedule of conditional grants and other schedules, as needed
• Assist with processes to streamline the comprehensive tracking of award amounts, encumbrances, expenses and balances across all programs to alleviate need for time consuming reconciliation process between program and finance teams
• Prepare journal entries and reconciliations for fixed assets, prepaid expenses, donations, payroll, revenue recognition and other general accounting functions, as needed, in coordination with other team members

Qualifications and Skills:

• Bachelor’s degree in accounting, business administration, or related field or at least five years of direct experience in financial management
• CPA (preferred, not required)
• Knowledge of not-for-profit and/or government accounting practices and regulations, software, and fiscal reports
• Proficiency in the Microsoft Office suite of programs (especially Excel)
• Work independently and set priorities; act effectively and efficiently under pressure
• Solve problems and exhibit strong organizational skills
• Excellent written and verbal communication skills

Salary: The range for this position is $75,000-$85,000 (or $36.06/hr-$40.87/hr), commensurate with experience, with an excellent benefits package including a professional development budget and great work/life balance. Part time candidates that work at least 20 hours per week are eligible for prorated benefits. A successful candidate with experience in some of the responsibilities listed above will be offered a starting salary at the lower end of this range. A successful candidate will be considered at a higher starting salary level if he/she/they have experience in most or all of the responsibilities listed above.
